General Statement on Privacy, Personal Data, and Communications
By using the Soulful Family Massage & Wellness website or app, you are responsible for maintaining the confidentiality of your account and password, and for restricting access to your device. You agree to accept responsibility for all activities that occur under your account and password.

User-Provided Information
Soulful Family Massage & Wellness does not collect any personal information unless it is knowingly and voluntarily provided by you such as through our client registration form when booking services or making purchases online. This information may be used to communicate important updates, appointment confirmations, or wellness-related information.
All personal information is used strictly for internal purposes and will not be shared with external third parties without your consent, unless required by law.

Security Statement
We are committed to protecting your privacy and online safety. Soulful Family Massage & Wellness uses Cliniko and Stripe to process online payments securely. All transactions are encrypted and processed through systems that meet Payment Card Industry Data Security Standards (PCI DSS) Level 1, the highest level of payment security globally.

Cancellation Policy
You may cancel or reschedule your appointment without charge up to 24 hours before your scheduled time. Cancellations or rescheduling made less than 24 hours in advance will incur the full appointment fee. Failure to attend without notice will also be charged at full price. Exceptions may apply under force majeure or other extenuating circumstances.

Online Bookings
Bookings can be made through our online system. Clients must create an account, register their details, and select their desired service(s) for purchase. Please review the terms associated with each service before booking.
Accepted payment methods include Mastercard, Visa, and Soulful Family Massage & Wellness gift cards. All prices are subject to change.

Pricing
All pricing for products and services at Soulful Family Massage & Wellness is subject to change without prior notice. We strive to ensure our offerings remain fair, competitive, and reflective of the quality care we provide.

Payment Methods
For online bookings and purchases, we accept Mastercard and Visa through our secure payment system.
In-store payments can be made via EFTPOS, cash, gift cards, or direct debit (for memberships).

Bookings
Bookings can be made online, in person, or over the phone. Prepayment is optional but may be required for certain services or promotional offers. For phone bookings, clients may receive a secure instant payment link to confirm their appointment.
If paying with a gift card or voucher, please provide the voucher number at the time of booking. This will be recorded and used to secure your session.
On the day of your appointment, you may choose to upgrade your service or add additional treatments, subject to availability.
All bookings are subject to our cancellation policy, and all prices are subject to change.
We accept cash, Visa, Mastercard, EFTPOS, and Soulful Family Massage & Wellness gift cards in store.

Online Payments
Online credit card payments made to Soulful Family Massage & Wellness are processed securely via [Square or Stripe], using industry-standard encryption and payment protection.
Payments will appear on your bank or credit card statement as:
“Soulful Family Massage & Wellness” or “STRIPE/SQUARE - SoulfulFMW ” (depending on your card provider).
Please note:
All online bookings and payments are finalised purchases and cannot be transferred or credited toward other in-store services. We recommend selecting your service carefully before confirming your booking.

Membership:
Memberships can only be terminated if the client has fulfilled the minimum of 2 monthly direct debits. Unless terminated, direct debits will continue until further notice. Certain membership credits are shareable but non-refundable. If a member seeks to cease payment, two weeks notice is required to transact the cessation.

Membership Payment Information:
Soulful Family Massage & Wellness will only retain payment information when authorised to do so via the information provided on the client form via the Wix webiste . Once entered, payment information is encrypted in your client profile.
Direct debit payments: Payments made to Soulful Family Massage & Wellness Wellness will appear as “Soulful Family Massage & Wellness or Terri Bunker ” on your bank statements.

Failed Membership Payments:
When a scheduled membership payment is declined, the payment gateway Stripe will automatically send an email to notify the client and reattempt the payment on consecutive business days until approved. Dishonoured payments attract an administration charge, this cost will be passed onto the member as part outlined in the Stripe Debit agreement. Soulful Family Massage & Wellness reserves the right to terminate a membership contract due to consecutive failed membership payments.

Membership Suspension:
Memberships may be suspended for up to 12 months. If a client is unsure of when they would like to recommence their membership, provided the client has fulfilled the minimum of 2 direct debits, the contract may be terminated at the members request.

Gift Cards
At Soulful Family Massage & Wellness, we offer beautifully designed e-gift cards (available online) and physical gift cards (available in store).
Gift Cards are non-refundable, non-redeemable for cash, and cannot be replaced if lost, stolen, or damaged—please treat them as you would cash.
Gift Cards entitle the holder to goods or services equal to the value stated on the card or remaining balance after partial use. They may be redeemed in-store or online, and must be presented at the time of redemption. If the purchase exceeds the card’s balance, the difference must be paid by the cardholder.
The value shown includes GST, and Gift Cards may be applied toward any available service or product.

Gift Cards are valid for 3 years from the date of purchase unless otherwise specified.

Soulful Family Massage & Wellness is not responsible for retrieving lost or unpresented gift card details.

Age Limit
Clients must be at least 10 years old to receive services at Soulful Family Massage & Wellness.
Clients under 16 years of age may register and book online; however, a parent or legal guardian must attend the appointment to sign the client waiver in person.
Parental permission and supervision are required for any treatment provided to clients under 16.
Please contact our team to discuss services appropriate for younger clients.

Physical Readiness
Soulful Family Massage & Wellness reserves the right to decline treatment if a client presents in a state that may pose a risk to themselves, staff, or others, including but not limited to:

Lack of required medical clearance for specific conditions

Signs of contagious illness or infection

Intoxication or altered states
We comply with all state health regulations, including protocols related to infectious diseases. Your health and safety are our highest priority.

Policy Changes
Soulful Family Massage & Wellness reserves the right to amend these terms and conditions at any time without prior notice. By using our website or attending our center, you agree to be bound by any updated or revised terms.
We encourage you to review this policy periodically to remain informed of any changes.

By accessing and using the Soulful Family Massage & Wellness website or receiving services at our center, you acknowledge and agree to the terms and conditions outlined in this document, including any future updates.
Please note: Any unredeemed gift cards, packages, or promotional offers that have passed their expiry date will be considered null and void and are not eligible for extension or refund.

We take all complaints and feedback seriously. We see them as an opportunity to improve on our service to our clients.

Once received, we will review the complaint and make every attempt to resolve the matter within 48 hours. If it requires notifying to a higher authority i.e. Associated will report accordingly. The complaint will be managed through our complaint management process to resolution. The complainant, and associate, will be informed of the outcome in writing.

Children
We only collect or use personal data from children under 16 years of age if they are registered clients of our services and with the knowledge of their parent or guardian. If we learn that we have collected personal data from a child under 16 years of age outside of these circumstances, the personal data will be deleted as soon as possible.
